Terms of Service

These Terms of Service ("Terms") govern the use of translation and interpreting services provided by Vanessa Caetano Translations & Interpreting, operated by Vanessa Caetano Salmeron, ATA Individual Member No. 269049, based in Orange County, Florida. By requesting a quote or a service, you agree to these Terms.
1. Services Provided
Vanessa Caetano Translations & Interpreting provides professional document translation and interpreting services, delivered online throughout the United States. In-person document pickup is available only when arranged and scheduled in advance. Vanessa Caetano Salmeron is not an attorney and does not provide legal advice, legal representation, or immigration case representation of any kind.
2. Immigration Services — Scope of the Service
This business provides certified translation of documents used in immigration processes, including matters handled by USCIS. Our role is the translation itself; legal questions and guidance about case strategy are best handled by a licensed immigration attorney. Nothing on this website or in any communication with this business should be understood as legal advice or as the services of a law firm or authorized immigration representative.
3. Academic Documents — Translation and Credential Evaluation
Translation and credential evaluation are two different services. We translate diplomas, certificates, transcripts and other academic documents faithfully into the language you need. Some institutions ask for translation only, while others may also request a separate credential evaluation, performed by a dedicated evaluation agency. Each receiving institution sets and applies its own admission and equivalency requirements, and we're glad to help you figure out which service applies to your situation.
4. Quotes and Formation of Agreement
Requesting a quote does not create a contract or an obligation for either party to proceed. A service is only confirmed after: (1) the document has been reviewed, (2) a quote has been sent, (3) the client has accepted the quote's conditions, and (4) payment has been confirmed. Before all four steps are complete, no translation or interpreting work is in progress.
5. Payment
Payment is required in full (100%) before work begins. The specific payment methods accepted are provided in the quote or invoice sent to the client and are not listed on this page, as they may vary by request.
6. Turnaround Time
This business does not publish a fixed general turnaround time. The estimated delivery time is provided in the quote after reviewing the document's page count, language pair, complexity, formatting, legibility and current availability. The turnaround clock begins only after payment has been confirmed and all documents and information needed to complete the service have been received.
7. Rush or Expedited Requests
Requests with a shorter turnaround may be accepted depending on availability at the time of the request. No additional rush fee is currently charged. Same-day, 24-hour, or other expedited delivery is never guaranteed and will only apply when expressly confirmed in writing in the quote.
8. Cancellations and Refunds
If the client cancels before work has begun, the payment is refunded in full. If the client cancels after work has already begun, only the portion of the service actually completed will be charged, and any remaining balance may be refunded. If the service has already been fully completed, no balance remains to be refunded. Amounts already paid to third parties, payment-processing fees, and shipping costs already incurred may be deducted from any refund.
9. Delivery Method
Digital delivery by PDF is the standard method and is included in the service as described in the quote. Delivery of physical documents by mail is available at an additional cost, which depends on the shipping method, destination, tracking option and any rush service selected. In-person pickup can also be arranged by prior agreement and scheduling. Delivery times for postal services and couriers are set by those providers, so exact arrival can vary; a tracking number is provided when available.
10. Client Responsibilities
To make sure your service goes smoothly, we ask that you provide complete and legible copies of the documents to be translated, correct names, dates and other information, the language requested, and the destination country, receiving institution or intended purpose of the translation. We also recommend confirming the specific requirements of the receiving institution, reviewing names and personal details when we ask you to, and keeping your own copy of the delivered translation.
11. Corrections
Corrections needed due to an error made by this business will be made at no additional charge within a reasonable time. Changes required because of incomplete or illegible source documents, documents replaced after the work has started, or incorrect information provided by the client may be billed, and any such charge will be communicated in advance.
12. Consular, International and Country-Specific Requirements
This business translates documents between the languages it offers for use before consulates, notary offices, universities and other institutions in different countries. Requirements vary by country, consulate, institution, document type and intended purpose. The client is responsible for confirming the specific requirements of the receiving authority before the translation is finalized.
13. Sworn Translation Services for Documents Used in Brazil
We offer Sworn Translation Services for Documents Used in Brazil. Since acceptance is determined by the receiving Brazilian authority, we recommend confirming their specific requirements before you submit your document.
14. Apostille
Apostille services are requested directly from the competent authority, not from us. Some documents we translate may separately require an apostille depending on their intended use. See our Apostille Information page for general, non-official guidance on the Florida process.
15. Decisions Made by Receiving Institutions
USCIS, consulates, notary offices ("cartórios"), universities, schools and colleges, courts, the U.S. Armed Forces, credential evaluation agencies, and other receiving institutions each have their own criteria for reviewing and accepting documents. We prepare your translation to meet the standards these institutions generally request, but decisions such as approval, acceptance, enrollment, academic equivalency, credit transfer, an immigration benefit, a court ruling, or entry into the Armed Forces are made by that institution, not by us — so we recommend confirming their specific requirements ahead of time.
16. Confidentiality
Documents and information submitted for translation or interpreting are treated as confidential and used only for the purposes described in our Privacy Policy.
17. Limitation of Liability
To the extent permitted by law, this business's liability for any claim arising from the services provided is limited to the amount actually paid for the specific service giving rise to the claim. This limitation does not apply to obligations that cannot be excluded or limited under applicable law. This clause is a general, reasonable limitation and has not been finalized by outside legal counsel; it may be revised following professional legal review.
18. Governing Law
These Terms are governed by the laws of the State of Florida. Where permitted by law, Orange County, Florida is the applicable venue for any dispute arising from these Terms or the services provided.
19. Changes to These Terms
These Terms may be updated as the services offered evolve. The date at the top of this page indicates when it was last revised.
